Reconcile the three sources

Compare the rent roll, the lease, and the ledger for each occupied lot. Record the resident, the rent, the effective date, and the balance.

Do not use the ledger as the lease.

Flag exceptions with a reason

Use short reasons such as missing lease, rent mismatch, vacant lot, or pending increase. Give each one an owner.

Sort by age and amount.

Review and correct

Send the exceptions to the manager and record the correction date.

Keep the audit with the month-end close.
