What you provide

Supply the work-order system, approved vendor list, service priorities, access rules, spending authorization process and emergency contacts. Specify who may mark work complete.

What comes back

Get organized work orders, confirmed appointments, vendor follow-up notes and an outstanding-repair report. Completion records should include the authorized status and relevant supporting documents.

From incoming work to a usable handoff.

A practical workflow to agree with your team. Adapt the steps to your systems, coverage and approval rules before work begins.

Log the reported issue
Capture the location, reported problem, contact details and access constraints in the approved work-order system. Follow the established emergency routing rules whenever the request falls outside routine administration.
Coordinate an approved appointment
Use the authorized vendor list and the manager's instructions. Confirm the appointment with the relevant people, record the access arrangement and flag anything that prevents the work from proceeding.
Track changes and missing updates
Keep reschedules, unanswered vendor messages and outstanding documents visible. A changed appointment should update the work order and the approved resident communication rather than living only in an inbox.
Request evidence before closure
Collect the agreed completion notes or attachments and route the record for approval. Your manager or qualified professional decides whether the work is complete, requires inspection or needs another visit.

A practical place to start.

A repair was scheduled but no completion update arrived. The assistant follows up with the vendor, checks the approved record and flags the missing evidence. The manager decides whether to approve closure, revisit the property or arrange additional work.

Agree a limited initial queue and review the finished work together. Adjust instructions before expanding responsibility. An incomplete input should return as a clearly documented question, not disappear into a backlog.

Decisions stay with you.

The assistant does not diagnose hazards, approve repairs or replace licensed trades and on-site responders. Safety decisions, emergency dispatch rules and expenditure approval remain with your responsible team.

Review the work, not just the status.

Confirm the correct home or lot, resident access instructions and approved vendor. Track missed appointments, require completion evidence and keep disputed or incomplete work open for review.

Questions before you start.

Does this include emergency dispatch?

Only the explicitly agreed administrative routing, if appropriate. Maintain a separate emergency response plan with authorized local personnel.

Can you track preventive maintenance?

Yes, using a schedule approved by your manager or qualified professional. An assistant can maintain dates, reminders and records, but does not determine technical inspection requirements.
